Tracy Transport LLC – Service Policies

Applies to: All rides booked with Tracy Transport LLC (“we,” “us,” or “the Company”).
- Booking & Payment
- How to Book: Online, text, or phone. A ride is confirmed only after you receive written confirmation.
- Quotes: Estimates include time & distance within the planned route. Tolls, parking, gate/port fees, and extra stops are billed as incurred.
- Deposits: Charters (3+ hours) or trips over $200 require a 20% non-refundable deposit at booking.
- Card on File: We may place a temporary pre-authorization to secure your reservation and cover incidentals (parking, wait time, cleaning).
- Payment Methods: Major credit/debit cards and contactless payments accepted. Cash accepted only by prior arrangement.
- Gratuity: Never required—always appreciated and goes 100% to your driver.
- Changes & Cancellations
Local / Point-to-Point (Non-Airport)

- Free changes/cancellation until 12 hours before pickup.
- 12–2 hours before pickup: 50% of the minimum fare.
- Under 2 hours (or after driver is en route): 100% of the minimum fare.
Airport / Intercity / Long-Distance

- Free until 24 hours before pickup.
- 24–2 hours: 50% of the minimum fare.
- Under 2 hours (or after driver is en route): 100% of the minimum fare + any parking already incurred.
Charters / By-the-Hour (3+ hours)

- Free until 48 hours prior.
- 48–24 hours: 50% of the estimated charter.
- Under 24 hours: 100% of the estimated charter.
Note: Same-day bookings are final sale once confirmed.
- No-Show Policy
We attempt to contact you via call/text upon arrival. If unreachable within the grace window, the ride is marked No-Show and billed in full.

- Home/Office/Hotel: 10-minute grace period, then billed as No-Show (100%) or continued wait time if instructed.
- Airports: Grace period begins at wheels-down (or scheduled time if no flight info).
- Domestic arrivals: 45-minute grace.
- International arrivals: 60-minute grace.
- Train/Cruise/Ports: 30-minute grace period from the scheduled time (or gate-release time).
- Wait Time & Extra Stops

- Grace Period: As listed above.
- After Grace: $1.00 per minute (billed in 5-minute increments).
- Extra Stops / Route Changes: Charged for added time & distance or $10 per quick stop (≤5 min) — whichever is greater.
- Tolls, Fees & Surcharges

- Tolls, parking, gate/port, and base access fees billed at cost.
- After-hours surcharge: +15% (pickups 10:00 PM–5:00 AM).
- Major holiday surcharge: +20% (New Year’s Day, Memorial Day, July 4, Labor Day, Thanksgiving, Christmas).
- Airport & Station Pickup Details

- Curbside Pickup: Included by default. Coordination occurs post-baggage claim.
- Meet & Greet (Optional): +$25 plus parking.
- Wrong Airport or Missed Connection: Notify us immediately; re-dispatch depends on availability and may incur additional charges.
- Secured Facilities & Military Bases (e.g., APG)

- Rider or sponsor must provide all required access details in advance; all occupants must carry valid ID.
- If access is denied, the trip is considered No-Show plus any applicable wait/parking fees.
- We comply with all base and facility rules; driver or vehicle substitution may occur to meet security requirements.
- Safety, Conduct & Comfort

- Seat Belts: Required for all passengers at all times.
- Child Seats: Maryland law requires proper restraints; customers must provide and install their own.
- No Smoking/Vaping or Illegal Substances in vehicles.
- Alcohol: No open containers where prohibited by law.
- Pets:
- Service animals always welcome.
- Other pets by advance notice; must be crated or on a blanket (cleaning fees may apply).
- Unruly or Unsafe Behavior: Driver may end ride for safety. Full fare and any damage/cleaning fees will apply.
- Vehicle Cleanliness & Damage Fees
We maintain vehicles in clean and comfortable condition. Additional cleaning fees may apply:

| Biohazard (vomit, bodily fluids, smoke) | $300+ (as billed by professional detailer) |
| Damage | Actual repair/replacement + downtime at $50/hr (max 8 hrs/day) |
- Lost & Found

- Please check before exiting the vehicle. We are not responsible for items left behind.
- Items found are held for 30 days; we’ll attempt to contact the owner.
- Return options:
- Pickup during business hours (no fee)
- Courier/delivery (billed at standard rates)
- Shipping (postage + handling)
Note: We do not insure passenger property; use personal insurance for high-value items.
- Delays, Weather & Force Majeure
While we monitor traffic and flights, unforeseen conditions (weather, road closures, mechanical issues, etc.) may cause delays.
We are not liable for indirect losses such as missed flights or reservations. Documentation of the delay can be provided upon request.
- Unaccompanied Minors

- Under 16: Must ride with a parent/guardian.
- Ages 16–17: Allowed with written guardian consent on file before pickup.
Additional documentation may be required for school or medical-related rides.
- Accessibility & Assisted Rides

- Please notify us of mobility needs when booking.
- Drivers can assist curb-to-door and with luggage, but cannot lift passengers or perform medical transfers.
- Route, Timing & Substitution

- Routes may be adjusted for safety or efficiency.
- Requests for specific routes can be accommodated upon booking.
- We may substitute an equivalent driver or vehicle if necessary to ensure on-time service.
- Disputes, Refunds & Credits

- Contact us within 48 hours of trip completion for any concerns.
- Approved refunds are returned to the original payment method.
- Credits expire 12 months after issue unless required otherwise by law.
- Privacy

- We collect only essential information for booking and completing your ride.
- We never sell or share your data beyond operational needs (e.g., payment processors).
- Policy Updates & Acceptance
These policies may be updated periodically. The version posted on our website is the most current and supersedes all previous versions.
